Strawberry Fields Duathlon Rules & Regulations
1. Non-Refundable Entries
- Registration Policy:
SFTD does not authorize refunds at any time, NO EXCEPTIONS. However, we do allow participants the option to transfer their event entry to another athlete or a different event (for example: Triathlon to Duathlon) 30 days prior to the Event Date in question. Any remaining balance from an event transfer will not be refunded and any additional charges from an event transfer will be assessed at the time of the transaction.Please note: All requests to transfer MUST BE MADE IN WRITING OR VIA EMAIL TO ATHLETE SERVICES PRIOR TO 30 DAYS OF THE EVENT DATE IN QUESTION. - Enter your confirmation code (on the top of your emailed receipt)
- Click “Cancel”
- Follow the rest of the instructions, as directed

For MEDICAL or MILITARY SERVICE concerns:
Requests to transfer or cancel a registration due to medical conditions and military service will be accepted on a case-by-case basis. Any requests received 30 days prior to event date will be considered; all other requests will be denied. - For Relay Teams Only :

2. Event Status Changes
All participants’ event status must be verified by confirming their race entry status though our online registration participant’s list. You can request a change to your Event Status up to at least 14 days prior to the race in question. YOU MUST notify Athlete Services in writing or via the event contact page if there is an error with your personal information; this will be updated at no charge.
b. For Relay Teams Only: A teammate may be replaced at no charge. Athlete Services LLC must receive a written request with the new and old teammate’s information no later than 48 hours prior to event.
3. Bad Checks Processed via imAthlete.com
In the case of a bounced check, ImAthlete.com (our official online registration partner) will charge a minimal fee. Patrons who do not cover bounced checks or who stop payment on checks will not be allowed to race future events.
4. Late Registration Fees
Late fees are determined by any and all descriptions on the Athlete Services LLC 2012 website and or ImAthlete.com website.
5. Event Sellouts
Once the event sells out THERE WILL BE NO MORE ENTRIES ACCEPTED. We have sold out every year, and we strongly recommend that you register early to reserve your spot. Any emails or requests of any kind will not be entertained. PLEASE DO NOT CONTACT US asking for a slot – we hate saying no!
6. Entries
All entries will be processed via online registration. In the event the races do not sell out, there may be on-site registration at the event site on Saturday April 21st, 2012.
7. Race Policies
a. USAT rules are enforced. If present, USA Triathlon officials will handle protests, and their rulings are final. Please become familiar with the most commonly violated USAT rules here.
b. Safety and fairness are placed at the highest standard. Because we are USAT sanctioned, you must either:
- Present your valid USAT membership card at Packet Pickup. You and only you can pick up your race packet – sorry, no exceptions!
- If you are not a member of USAT, you will be required to pay a $10 one-day license while registering online or at Registration/Packet Pick-up.

Our online registration process through imAthlete.com allows you to purchase a USAT annual or one day license, depending on your membership needs.
c. Race Numbers: Numbers MUST be visible at all times in order for athletes to be scored. You must have your race number on the front side of your body on the run section and finish line.
d. Athlete Conduct
All athletes are expected to conduct themselves in a sportsmanlike way. Athlete Services LLC reserves the right to refuse future race entry and to disqualify anyone who conducts himself or herself in a way unbecoming of an athlete. Fighting, foul language, cheating and other un-sportsmanlike conduct will not be tolerated.
8.Timing
a. The Timing Director and the USA Triathlon official will resolve all timing problems. If an official is not present, the Timing Director will have the final decision on all protests with the consultation of the race director if necessary.
b. For all triathlon and duathlon events, timing problems must be presented within the 15-minute protest period once the event results are posted at the event. Problems presented after the protest period will not be addressed. Note: although electronic timing has become the modern choice for reliable results, there are instances when the technology fails and some data is lost. For this reason we cannot guarantee that 100% of the athletes entered will receive all of their timing data. Our promise to you is that we will do everything in our power to prevent such instances and produce a first class event.
c. Website posted results are final. NO FURTHER PROTESTS OR CHANGES TO THE DATA WILL BE ACCEPTED. YOU MUST BE PRESENT AT THE EVENT DURING THE OFFICIAL RESULTS POSTING AND/OR PROTEST PERIOD TO MAKE ANY AND ALL CHANGES TO YOUR RACE STATUS.
d. Wave Starts: Swimmers starting in the wrong wave will be disqualified. Make sure you check for wave start times at registration the day of the event.
e. Results will be posted online ASAP after the event.
9. Race Course Cancellations and Acts of Nature
Due to acts on the part of city officials, police orders and unexpected acts of nature, we reserve the right to make last minute changes, remove segments of the race course and sometimes cancel the entire event. Athlete Services LLC. needs to pay for all race supplies or services associated with that race, regardless of the outcome. The Strawberry Fields Triathlon & Duathlon cannot accept the risk of a disaster or a forced event cancellation for everyone. Each athlete needs to accept the risk of his or her entry fee. There will be NO REFUNDS or postponed entrees to other future races. The money you paid is spent developing that race. We reserve the right to make such changes in order to insure your safety and or comply with city officials, county lifeguards and police orders.
